This means in your region we have team members to cover planned and unexpected absence of your regular support team. Your local care coordinators will communicate with you about changes to your rostered team and you can also see your cares schedule in the Family Portal.
How to sign into Alayacare on a personal computer
1. Enter the URL uruatea.alayacare.com into your browser to navigate to the login screen and enter your login details. Then click Sign In 2. Click on schedule and work on the left sidebar to view your schedule 3. Go to the top right of the screen to see how many hours you have scheduled for the fortnight (21.83) against your guaranteed hours (16)
How to set the Alayacare mobile app to offline mode
The App can be set to offline mode where cell phone connection is unreliable. Go to the Settings menu and select Offline settings. Tick the Offline mode and a pop up appears confirming you want to download the next day’s data. Activities done in offline mode will upload to the system when you return to Wi-Fi or phone coverage. You cannot download the current day, but the system from now on will always be 1 day in advance so you can just leave it enabled.
How to apply for annual leave in the Alayacare mobile app
Applying for leave must be two weeks in advance and sick leave must not be applied for using this system. Please ring if you are sick, so that any cares assigned to you can be reassigned to another Support Worker. Navigate to the main menu Select caseload Select region leave. Select care Select forms Select Add a Form Select Leave Request Form Complete form and click Submit A notification via email will be sent approving or declining the leave request.
How to view care offers in the Alayacare mobile app
Care offers can be sent through the mobile phone app. Your phone will alert you to the care offer sent and will appear on your schedule as an offer with an orange background. Go to the menu and click on Offers to view the care offer. Pending offers will appear and click on the care offer. Details of the care offer are on the screen, and you click on the thumbs up to accept and thumbs down to decline. How to navigate the menu in the Alayacare mobile app
The menu is accessed by selecting the ‘hamburger’ icon in the top left corner. Your phone will alert you when a new message or offer arrives and will be highlighted by an orange ballon. Click on the message or offer to open. To get back to cares, click on schedule.
How to clock out of a care in the Alayacare mobile app
To clock out, return to the client home screen and click clock out. Once completed, the care appears with a tick in the schedule.
How to access progress notes on the Alayacare mobile app
Returning to Care Delivery, clicking on ‘Progress Notes’ allows you to create a progress note which the office and other Support Workers can view on the client’s profile. This is a digital version of the Communications Book. It can be used as a handover to the next Support Worker. Once the note is written, click ‘Save’.
How to submit a client not home form on the Alayacare mobile phone app
Click on Forms Click Add a Form Select client not home, answer the Yes/No questions. A visit note must be completed as part of this process (see page 3 instructions). Once submitted the form can be viewed by the National Communications Centre. You must ring the National Communications Centre.
How to complete a care using the Alayacare mobile phone app
After clocking in, two sections will appear. The first section details the care date and time, care package, client address, and service instructions. Selecting this section will open on the Visit Details tab with client details. There is an option to leave a Visit Note by tapping on the box. Click the plus sign and type in visit note. Visit notes are visible for office staff completing Visit Verifications (used for payroll activity).
